How it works

How Ivory Key runs your hotel day.

Four parts, in the order a day happens: the desk takes the booking, the money is counted, the rooms get cleaned, and you see how it went.

No card needed. Priced in naira, from ₦49,000.00 a month.

01 · The desk

Every booking in one list.

Walk-ins, phone calls, agents and guests booking online all land in the same place, so the desk never has to ask which book to look in.

  • One list. Bookings your team enters and bookings guests make on your own booking page (from Front Desk) sit side by side.
  • One bill per booking. Room charges, extras and payments for a stay are all on that booking's bill.
  • Keeps working when the internet or power drops. Saved screens stay readable, and check-in, checkout, room status and walk-ins are kept on the device and sent when the connection returns.
The front desk on a laptop: checking out Adaobi Okeke from Room 201 shows ₦110,000.00 still to pay, checkout blocked, and a button to take the payment
A guest owes ₦110,000.00. The desk can’t check them out until it’s paid, or a manager overrides it with a reason.

02 · The money

Who has paid, and who still owes.

Every guest's bill shows what was charged, what was paid and what is left, so nobody leaves owing quietly.

  • Desk staff add charges and take payments. They cannot remove a charge or approve a refund. A manager does that.
  • Your guests pay you directly. Guest payments go into your own Paystack or Credipay account. Each provider charges its own fees. We're paid only the monthly fee.
  • Caution deposits and refunds. Held, used for damage if needed, and refunded from the same bill.
The desk’s laptop: a guest’s bill with ₦410,000.00 of charges, ₦300,000.00 paid and ₦110,000.00 still to pay, and who pays each charge
Charges, payments and what is still owed, on one bill. The guest owes ₦110,000.00.

03 · Rooms and team

Rooms get cleaned, and someone owns every request.

When a guest checks out, housekeeping knows straight away. Your team works from their own phones and sees what their job needs.

  • Checkout starts the cleaning. The room is marked dirty and a cleaning job is created. When the cleaning is done, the room is ready to sell again.
  • Requests have an owner. A guest asks for towels or a repair, and one person is named for it, with the time it was promised.
  • Each person sees what their job needs. Desk, housekeeping and managers get different screens and different permissions, described in plain words.
A housekeeper’s phone: Room 105, turnover clean, 42 minutes left, ready by 13:00, with a button to mark it done
Checkout gave housekeeping the job. It counts down to when the room must be ready.

04 · The owner

See the hotel without being there.

You do not have to ask the desk how yesterday went. It arrives before you have had breakfast.

  • A summary of yesterday, every morning at 7. It is emailed at 7, hotel time, to admins and managers.
  • Reports you can download. On Front Desk and above: takings, who owes, and what each room type earned.
  • Prices in naira. Plans are priced in naira, and yearly plans keep their naira price for the year.
The owner’s laptop: Payments for October, money in ₦2,808,000.00, deposits held ₦200,000.00, and each payment with how it was paid
Every naira in and out, each once. Deposits held for guests are shown apart.

05 · Automations

Set it once. Ivory Key does the reminding.

Pick a ready-made automation or write your own in plain steps: when this happens, wait, check, then tell someone or do something. A check after a wait reads the booking as it is then, so nobody is chased for a bill they have already paid.

  1. Still unpaid a day later

    1. Whena booking is made
    2. Waitone day
    3. Ifit is still unpaid, and not cancelled
    4. Thentell the front desk
